Pillossage Class



I took Pillossage with Karen Kowal a few weeks ago in Grand Rapids, Michigan.

It's no secret I love Mother Earth Pillows (they're like heaven!), and I've been wanting to learn the thermal connective tissue release technique that Karen created using them ever since I first saw it at NERC (AMTA New England Regional Conference) in 2008. I was working in the Ashiatsu Deepfeet Bar Therapy booth, but got a chance to check out the other booths and fell in love with the aromatic Mother Earth Pillows. I hadn't gotten a chance to receive the work at that time. (Bummer!)

I found in class that it's nearly impossible to stay awake while receiving this work!  It completely zones clients out while receiving it. It's a great addition to any session, especially for those chatty clients that can't seem to relax.

From that first feather stroke down the body wrap pillow over the spine, clients seem to just sink into the table a bit more and really open up to receive. It's a gentle technique making it work well for most clients.

My clients comment all the time on the great aroma of the pillows. I've been incorporating them into my work for a while (mostly just to help keep clients warm) but after Karen's class, I have all sorts of awesome tricks to add in to my sessions with the warm pillows.

How To Use Bodywork Buddy As Your Website (With or Without Online Scheduling)


Do you want to use Bodywork Buddy to keep track of your income, expenses, client files, gift certificates, etc. but don't want to offer your clients online scheduling? You can choose to not enable your microsite, so it will never be live online... but another option is to still have your microsite and use it as your business website but without the scheduling aspect.

To do this, you can set all of your services to private instead of public from Dashboard > services > main > click on each service under service code > select private from visibility dropdown box > save.






When all of your services are set to private, your microsite will look similar to this:

It's Time To Kill These 4 Online Scheduling Myths





1. "I won't have control over my schedule."

A lot of therapists have this fear that they will lose control of their schedule, clients will suddenly dictate their life with too much access to their book, there will be too many appointments, too close together, and chaos will ensue!

Mary-Claire Fredette of Affinity Massage Studio in Cincinnati, Ohio says before she started using Bodywork Buddy, she was afraid that she would be at the grocery store buying ice cream when someone would schedule a massage. Her life would be ruined as the ice cream would melt info puddles as she massaged someone. It makes me laugh, but as a therapist myself, I can understand this concern!

Luckily Bodywork Buddy has some key features that would prevent this from being an issue.
  • Your clients request an appointment online from the openings shown, and you can then accept or decline the appointment request. (So it's not an automatic confirmed appointment until you accept it.) You're sent an email to notify you of the request, and it will also show within your BWB account on the dashboard and the calendar.
  • Stacked time slots versus interval time slots: BWB lets you choose how your openings are shown to clients. Do you want to show intervals of 10 minutes like 10:00, 10:10, 10:20 giving the client the most flexible options? (Interval options vary from 10-60 minutes.) Or only show them blocks of times like 10:00, 11:30, 1:00 giving YOU more control? It's up to you.
  • In your settings, you can choose to show openings to clients online ranging from immediately to 4 days out. So if today is Monday and you have 4 days set in your settings, clients will not see any openings in your calendar until Friday.
  • BWB's "optimized scheduling" feature is an optional setting to only allow clients to schedule appointments before or after an existing appointment, which helps to eliminate large gaps in your day. So if you have this setting selected, and you only have 1 client today at 5pm with the rest of the day open, any other clients looking to schedule online will only be able to select today at 3:30pm or 6:30pm (times may vary depending on your settings).  So at 10am you can buy your ice cream with no worries of it melting :)


2. "It will become a double-booking nightmare."

Do you worry that a client will schedule online at the same time that you're scheduling a client in the office?

Once a client requests an appointment online, it will show in your calendar in orange so you know it's been requested. That time slot will not show as open to other clients unless you decline that request.
When you're manually scheduling a client who is in your office or on the phone with you, it will instantly no longer be shown as an opening online.

Tristin Resinger of Akua Esthetics and Bodywork in Ann Arbor, Michigan says the owner at her previous job refused to get online scheduling out of fear of these kinds of mistakes happening, but Tristin points out that those mistakes seemed to happen a lot with a paper book. Having an electronic trail of each appointment can actually cut down on misunderstandings and human error. Within BWB, you can see a log of all emails sent to clients and 
even see if/when they've opened them.



3. "The online scheduler won't work."
Erin Howk of Therapeutic & Stress Reduction Massage in Fairmont, Minnesota says she had a fear that online scheduling wouldn't work and she'd have clients showing up that she didn't know were supposed to be there.

There's a few things within BWB that prevent this from happening. When a client requests an appointment online and you accept it, it turns into a confirmed appointment (in green) in the calendar and the client gets an email letting them know the appointment has been confirmed / accepted. 

The client will then get an email reminder shortly before their appointment (you can customize the how many hours before their appointment this is sent out in your settings.) If you have SMS services enabled and the client has opted in, they will also receive a text reminder.

If they don't have an appointment in the calendar, they will not get these confirmations and reminders.




4. "Nobody will use online scheduling and I'll still have to answer the phone and pay for a useless service."

While some clients might take some time getting used to scheduling online, the majority of clients today want the convenience of online scheduling. Not only scheduling online, but from their phones and tablets! Studies have shown that mobile use has skyrocketed in recent years. Offering online scheduling that is mobile friendly will cut down on phone tag and make scheduling an appointment with you a breeze.

I can't promise that you'll never have to answer the phone again, but it can make your life easier and save you time.

How To Email Receipts To Massage Clients


Bodywork Buddy makes it easy to send receipts to your massage clients!


First, you'll want to make sure you have your email services enabled in your settings.





Make sure you have an email address on file for your clients.

After their appointment, click into the green confirmed appointment in the calendar, and choose "complete appointment (create session)" from the popup window.




From within the session record, you can record payment info and other details including SOAP notes, etc.
After you've filled out the details you want to record for the session, click "email receipt" along the top in orange.




A popup window will ask if you're sure, click the green "email receipt" button.



And it's done! Total time to email receipt to a client: 2 seconds.

Product Review: Nirvana 2in1 Massage Table





I've been using the Nirvana 2in1 Massage Table from Got Your Back in my massage practice lately and am loving it.

I'm pretty spoiled with having a lot of different tables at my massage studio because I use many for teaching Ashiatsu DeepFeet Bar Therapy classes. I like to switch up the table I use in my everyday practice and here's what I like about the Nirvana 2in1 table:

  • The removable breast recess, which can then be put back in place for supine work. Or you can leave it out for different access to neck area while working supine.
  • There's a nice little dip for the neck area when laying prone.
  • Arm sling that is easier to add or remove than some others I've tried.
  • The table top is cushy and the black color looks super sleek.
  • Weight capacity of 550 pounds makes this table a good choice for ashiatsu work as well. (Static capacity is 2750 pounds.)
The only thing I've been having issues with so far is removing the face cradle, but I think it's just because it is still new and hasn't been removed a lot. (And really, there's no need to remove it often, I can simply drop the face cradle down when working supine.)

How To Sync Your Google or iCal Calendar


Did you know you can sync your Google and/or iCal calendars to your Bodywork Buddy calendar? Enabling your sync and feed settings will allow your BWB massage appointments to show in your Google and iCal calendars and vice versa. Many massage therapists love this feature that allows them to see all of their calendars from any location.

From within your Bodywork Buddy account, go to Dashboard > Calendar > Google Calendars > click green "enable Google calendar sync" button.

Google will ask you to select which account you want to sync to.








After clicking on the appropriate account, you will have to click "accept" to grant Bodywork Buddy access to your Google calendar. 





Check the box next to the calendar(s) you want to sync with. Click the green "enable selected google calendar(s)" button.








Next, go to Dashboard > Calendar > Feed Settings > click green "enable feed" button.







After the feed is enabled, there will be a box in the lower left of this screen with a button to add to your Google calendar and/or Microsoft Outlook, and a link to add to any software that supports the iCal format.






Simply click on the buttons to add to google or microsoft outlook. If adding to iCal, highlight and copy the link > open your iCal > click File > New Calendar Subscription.







Paste the link into the text field and click "subscribe".




And that's it! Follow these steps and your calendars will be synced, allowing you to see events/appointments on both calendars from both places.

Product Review: The Nirvana Mate 2

I've been trying out the Nirvana Mate 2 cushioning system from Got Your Back. What I like about using this instead of a breast pillow is that there is no need to remove it when flipping the client to supine. You can actually use the recess for better access to the neck (check out the video below at 1:00 to see what I mean!), or you can put the cut out back in if you prefer.



The gradual slope of the second half of the cushion makes it less noticeable than a breast pillow from the client's perspective. Place it under the sheets or your table warmer and it feels like it's just part of the table. You can also easily add in the cut out at any time for clients who don't need it while prone on the table.

Massage Chains Versus YOU



As a solo massage therapist, it may seem daunting to try and compete with the franchises. The key is to set yourself apart from the big chains, not to try and compete with them on prices or try to run deeply discounted groupon deals or membership specials. Remember that they have a huge staff to implement those deals… you only have YOU! If you try and compete on price, you will only burn yourself out and not make any money in the process. (Not to say that you shouldn’t run group deals, but if you do, know how to run them to work for you! Don’t expect to run them the same that the franchises do and be successful. It’s important to create a niche to set yourself apart from the big massage chains. Identifying or creating a niche means digging deeper into what sets your business or service apart from the competition. The typical marketing question is "Why would I schedule an appointment with you instead of <insert massage franchise>?" Identify what makes your independent massage practice different, and then play up those features.


In addition to having a niche, it’s important to have systems in place to keep your business organized and to have a professional online image. Take a look at your local massage chain’s website. Now view that side-by-side with yours.


  • Where is there room for improvement to appear more professional?
  • Is it obvious to clients viewing both sites how your independent massage practice is different?
  • Do you offer unique services or techniques and is that prominently displayed on your website? (Professional images will really help here.)
  • Do you offer the convenience of online scheduling? (Remember that a lot of clients are now doing most browsing and scheduling from their phone… is your scheduler mobile friendly?)
  • Do you have client testimonials or raving reviews on your site?

Let Clients Schedule From Your Facebook Page


Wouldn't it be cool if your clients could schedule an appointment with you right from your Facebook business page without ever leaving Facebook? Oh that's right, they can!

From within your Bodywork Buddy account, go to dashboard > account > microsite info.  (Hopefully you've already enabled your microsite and have already been using the online scheduling feature. But if not, check out this video to help you set that up!)

Once your microsite is activated, you can embed it right into your Facebook business page by scrolling to the bottom of the microsite info page. Under "Extra Stuff" is a link to click to integrate with your Facebook page.


This will open a window in Facebook and you can select your business page from the dropdown box. Then click "add page tab", and it's done!

What does it look like on your Facebook page?

A "Schedule online" tab will be added to the navigation on your page. If you want to move where this is displayed, click on "more" and you'll have the option to reorder your tabs.



When you click on "schedule online", you'll see the microsite scheduler embedded right into your Facebook page. Clients can schedule without ever being taken away from Facebook.

A Twist on How to Take Product Pictures


I came across a great idea on Pinterest last week with tips on how to take some awesome pictures of your product for retail.  

The tutorial includes a black notebook for the product to sit on, a light, and something to filter the light. I was planning to follow this and see how they turned out... but today while I was at the office, I decided to just wing it and work with what I had.

I didn't have a light, but it was a fairly sunny day and I setup about 10 feet from my windows.  I didn't use anything to filter the light since I was just using sunlight.

I didn't have anything for the black notebook, and I also had the issue of the product not being as tall as the Pinterest example.  I played around with different items to add the height I needed, and settled on a jar of Sombra.  (though this pic isn't showcasing the Sombra, it's also a product I love! It was just pure coincidence that it was the perfect booster for the other product I was photographing - Young Living Oils roll-on.)

I chose a bokeh wallpaper pic for my background on my laptop.  (I simply did a google image search for bokeh wallpaper.)

I am not a photographer.  But I didn't think it turned out half bad.  I used Instagram on my iPhone.
With a few selections within instagram, here's the final shot.

I still plan to do some shots including the details from the Pinterest post.  I think this could definitely be improved with a filter so there isn't the bit of glare.  But nice to know you don't need a special light or anything to do some decent pics.  Not bad for 2 seconds at my office and no real equipment.

The 7 Deadly Sins of Email Etiquette


Email marketing is definitely something we should be doing as massage therapists to keep connected with our clients.  (Did you catch Hillary's guest post a few weeks ago? A great testament to the power of email and building a list!) While it's not as exciting as social media, it's more personal and speaks directly to our client - it has potential to be much more effective than social media.  (If measuring effectiveness in ACTUAL BOOKINGS and not just "followers" or "likes" in social media.)   I'm not saying that social media doesn't have it's place in marketing for your massage business, because I think it does.  I do, however, think a lot of therapists who are struggling to build their practice are putting too much emphasis on social media and not enough on other areas to reach their ideal clients.  (More on this topic and ways I do feel social media is valuable later.)

When I was building my practice, I used email as a tool to help fill my schedule.  I'm dating myself here, but this was before social media was an option.  So it was a no-brainer for me to put some energy into email marketing.  This was also before awesome services like Mailchimp (or at least as far as I knew at the time), so I was doing old school emailing.

There's some cardinal rules to emailing for marketing purposes.  I highly suggest a service to make your life easier.  For one, it includes the unsubscribe link which is required by law so you're not spamming people with unwanted emails.  I like Mailchimp because it's free for up to 2,000 email addresses or something crazy like that.  But there are other similar services I have used as well - they are all pretty user friendly and easy to create beautiful emails.  I'll be doing another post soon with more info and details of using services like Mailchimp - so watch for it if you're interested in learning more.

If you're using a service like this, some of these mistakes won't be an issue because it's automatically prevented within the service.  However, these are all good things to keep in mind when emailing clients:


The 7 Deadly Sins of Email Etiquette:

  1. Not using BCC when emailing groups.
    BCC stands for Blind Carbon Copy.  It's just plain rude to email clients en mass and have their email address for everyone to see in the "To" field.  Or using CC (carbon copy) which also allows all receiving the email to see the addressees.
    Don't do this.  It's unprofessional.  Your clients will notice and will not appreciate it.
  2. Not having permission to email.
    It's always a good idea to have your clients permission to email them, and let them know ahead of time how often they can expect an email from you.  A monthly newsletter?  A weekly email with last minute openings?  Create some lists for clients to be a part of so they can receive all or only part of your email blasts.  Let them know what to expect.
  3. Overusing High Priority.
    This won't be an issue with a service like Mailchimp, but flagging an email as "high priority" when it isn't will only irritate your clients.  Especially if they are in the corporate world and using email for business.
  4. WRITING IN ALL CAPS.
    For the love of all that is holy, please don't do this.  This is considered yelling in text.  It will send the wrong message.  Same goes for using many different fonts, colors, etc. Many things that make a bad website can be applied to emails as well.
  5. Delivery and Read receipts.
    Not an issue with mailchimp as it shows you who has opened your emails.  This is another annoyance in regular email.
  6. Non-professional address for business communication.
    I had posted something a while back on our Facebook page about using professional email addresses and it was quite the controversial topic.  I certainly wasn't saying that therapists aren't professional if using a gmail or yahoo account, but that it's more professional to use your business domain name in your email address.
    Unless, of course, you have something like sparklyunicorn@yahoo.com for your address.  In that case, then yes. I am saying that's unprofessional.
    While I'm a proponent of being yourself in your marketing, aim for being your best professional self.
    Use your business name if using a free email service. MassageByCindy@gmail.com sounds better, right?
    Or use your domain name.  If you don't have a website yet, or don't have email with it, you can easily get a Google Apps account for $50/year or $5/month that includes a gmail account using your company name.  Cindy@MassageByCindy.com is even better, right?
  7. No unsubscribe option.
    This is the spamming legalities I was referring to earlier in this post. Make it easy for clients to unsubscribe from your emails.  It's the law!

How Your Menu Might Be Scaring Your Clients Away


I never used to put much thought into my service names on my menu.  I would just list them as the modality and amount of time.  But after a while, I started to realize a few things.  Not only do clients not know all the different modalities (and really, how could they?), but they appreciate a simplified menu that makes it easy to choose which service to request.
According to Psychology Today, the more choices we have, the more difficult the decision.  It's human nature to shy away from things we don't know and instead choose the path of least resistance.   When a menu looks too complex and complicated, massage clients will naturally choose the cheapest and easiest option.  (Swedish massage, anyone?) 
It's our job to communicate our services clearly and help our client choose the best service for them.  
Here are some tips that I have found helpful for clients when scheduling:
  • Rather than list your modality names, create descriptive names that illustrate how they will make your clients feel, or what problem they will solve for your clients.

    Which looks more appealing - Column A or column B?


    And this list is just using some pretty basic modalities as examples. Imagine a menu with things like Neuromuscular Therapy, Myofascial Release, Trigger Point Therapy...!  A lot of clients don't know what those names mean.  Make it easy for them with descriptive names.
  • Take your favorite service or combination of services and call it your "signature massage".  Put this at the top of your menu list, and mark it with an asterisk of *Recommended.  I'm willing to bet that 90% of your new clients booking online will schedule this service regardless of what it is.

  • Have a non-massage friend look over your menu.  Do they have an easy time choosing a service knowing nothing about massage and being a complete bodywork newbie?
  • Have an option for clients to choose a "completely customized session" based on their needs that day.  They can just choose the time allotment (or have it for a set amount of time only - even better - LESS choices!).  This is also a great way to make clients feel like they get a 5 star treatment knowing that you are "creating" a session just for them.
Think of it like going to get your car serviced at the shop or getting a car wash. Notice how the car washes usually have a "recommended" service?  And the maintenance shops have "winter tune-ups", etc?
